11/03 - Sales Coordinator - Crowne Plaza Downtown (Lloyd Center )

SUMMARY: The Sales Coordinator is responsible for providing administrative support services for the sales and catering departments.

DUTIES AND RESPONSIBILITIES (include, but are not limited to, the following):

* Provides support services to include typing, filing, answering telephone calls and directing clients to the appropriate sales person.

* Produces and updates the Sales Rolling Forecast on a monthly basis.

* Types, distributes sales and catering contracts and group resumes to appropriate departments.

* Addresses and mails sales correspondence as requested.

* Provides customer service in person and via telephone to guests and hotel staff.

* Maintains sales contract books.

* Creates new files and updates file trace system; maintains the organization of the filing system.

* Checks trace system on a daily basis and provides sales people with appropriate files.

* Creates sales packets and keeps a supply on hand at all times.

* Types and sends thank you letters and evaluation forms for all completed group business.

* Enters data on a daily basis into the STS program.

* Maintains and updates database containing sales clients and addresses on a monthly basis.

* Provides sales assistance to clients when a sales person is not available.

* Displays knowledge of departmental policies as well as emergency procedures of sales office operations.

* Attends and participates in weekly departmental meetings.

* Attends and participates in orientation, fire safety training, and other training and development sessions assigned by management.

* Acknowledges, understands and abides by Company policies and procedures.

* Maintains professional appearance (including name badge) and attitude among fellow employees and clients; maintains personal cleanliness at all times.

* Maintains a neat and tidy office and working area at all times.

* Performs similar and related duties as assigned.

Education or Experience: Ideal candidate must possess excellent customer service and general office skills; display detailed and focused approach to all work performed; previous sales and catering experience preferred.
